Automation rules

Automations do the routine updates for you. When a task is created or changes, or a due date comes close, a rule can set its status, priority, person, tags or dates, and send you a heads-up.

FIG 1Every rule starts with a trigger.

01Open automations#

  1. Click your board's name at the top left and pick Board Settings.
  2. Open the Automation tab.
  3. Click + Add Automation and give the rule a name.

Rules save as you change them. Each one has its own on/off switch, and the copy and delete buttons beside it.

02Triggers#

Task Created / UpdatedRuns when a task is added or changed.
Due DateRuns a set number of days Before Due or Past Due.
ScheduleCreates a task on a schedule. See Recurring tasks.

03Scope#

Pick Board to cover every project, or one project to keep the rule to it.

04Conditions#

With no conditions, a rule runs on every task. Click Add Condition to narrow it by status, tags, assigned person, priority, whether it's a subtask, or who created it. All conditions must match.

Created By can tell where a task came from: made in Taskift, sent through a form, imported from a CSV, or made by another automation.

05What a rule can do#

Tip A good first rule: Task Created, condition Created By: A form, set priority to High. Every request from a form gets looked at first.

06See if it ran#

The bottom of each rule shows how many times it has run, or Has not run yet.
