Trello is one of the best tools ever made for a single board. Cards, lists, drag and drop: anyone gets it in a minute. The trouble starts when your team runs ten projects for six clients at once, and every project is its own board.
Where one board per project starts to hurt
In Trello, the natural setup is one board per project. That is fine for two or three. Past that, the questions that matter most get hard to answer:
- What is everyone working on this week? You click through every board to find out.
- What is late across all clients? There is no single place that shows it without extra views.
- Can the client see their work? Only if you invite them to the right boards, and keep that list up to date.
Taskift: every project on one board
Taskift starts from the other end. All your projects sit side by side on one board, each in its own color. You can:
- Drag a task from one project to another, with its comments, files and history.
- Toggle projects on and off to see only the ones you care about right now.
- Open Focus mode on a single project when you want its own columns and limits.
Timeline and calendar are not an upgrade
On Trello, the Timeline, Calendar, Table and Dashboard views are part of Premium, at $10 per user per month billed annually ($12.50 monthly). The Standard plan, at $5 per user per month annually, does not list them.
Taskift has one plan. Board, list, Gantt timeline, calendar, swim lanes and reports are all included at $5 per user per month billed annually, or $6 monthly.
Clients join free
Trello's Standard plan includes single-board guests. A guest on more than one board in a Workspace counts as a multi-board guest and is billed like a member. Multi-board guests are listed on Enterprise.
In Taskift, clients join as free guests and see only the projects you share with them, however many that is. Your other clients and your internal notes stay out of sight.

When Trello is still the right call
If your team runs one or two projects and lives on a single board, Trello is simple, mature and has a huge library of Power-Ups. Stay put. Taskift is for the moment you have more projects than you can keep open in tabs.
