Client approvals usually live in email threads. Somebody asks "is this OK?", the answer arrives three days later in a different thread, and nobody remembers which version was approved. Here is how we run approvals on one Taskift board instead.
1. Give approvals their own status
In Board Settings › Statuses, add a status called Waiting on client between In Progress and Done. Give it a task limit, for example 3. When the column is full you can see it at a glance: too much is sitting with the client, so it is time to nudge.
2. Invite the client as a guest
Invite your client as a guest and pick the projects they can see. Guests are free and they see only their own projects, never your other clients or your internal notes.
3. Ask on the card, not in email
When something is ready, move the card to Waiting on client and leave a comment that says exactly what you need, with the file attached. The question, the file and the answer stay on the task, together with its history.
4. Close the loop
When the client replies on the card, move it to Done. If they ask for changes, move it back to In Progress. Either way, the decision is written down where the work is.
5. Let new requests come in through a form
Share a Taskift form with your client for new requests. Every submission becomes a task in the project you choose, so requests stop arriving as random emails.
